Overview
We’re seeking a detail-oriented administrative professional to support our day-to-day business operations. This role is essential to keeping our internal processes running smoothly and efficiently, especially in portfolio trading operations and in-house records maintenance.
Responsibilities
• Enter equity trades through broker’s online system
• Enter, maintain, and reconcile trades in the in-house portfolio management system
• Run daily reports for the business owner
• Reconcile monthly brokerage statements
• Interact with brokerage representatives and clients via phone and email
• Coordinate and manage project tasks and timelines
• Maintain office systems and business licenses
• Provide administrative support
• Prepare reports, documentation, and communications
• Perform miscellaneous office duties including answering phones, handling mail, filing, and general support
Qualifications
• Minimum 2 years of experience in finance or brokerage operations or related industry
• Strong proficiency in Microsoft 365 Suite (Word, Excel, Outlook, etc.)
• Excellent communication and interpersonal skills
• Ability to manage multiple priorities and adapt to changing environments
