POSITION SCOPE AND ORGANIZATIONAL IMPACT
Benefits Specialist will play a crucial role in ensuring the effective administration and utilization of employee benefit programs with a focus on end user support. This position requires a combination of expertise in benefits administration, excellent communication skills, and a commitment to enhancing employee well-being through comprehensive support for benefit plans, enrollments, communications, and wellness initiatives.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES
- Act as primary point for employee benefit inquiries, providing guidance, support, and issue resolution by partnering with internal stakeholders and carriers
- Partner with Benefits team in the day-to-day administration of a company benefit plans, including, but not limited to, health insurance, retirement plans, and other voluntary benefits
- Administer the 401(k) plan, including enrollments, contributions, distributions, audits, and nondiscrimination testing; coordinate with payroll to ensure accurate loan repayments and contribution tracking
- Ensure compliance with ERISA, IRS, DOL, and internal policies; support preparation of annual filings such as Form 5500
- Ensuring the accuracy of benefit data through audits, handling qualifying life events, and maintaining compliance with Workday processes
- Support invoice processing, check requests, and wellness vendor reimbursements (e.g., Cigna); manage incoming office mail and the benefits inbox
- Coordinate and promote wellness initiatives and events; track employee engagement, manage annual wellness budget, and collaborate with vendors.
- Plan and execute employee Anniversary recognition activities and benefit-related communications
- Ensure compliance with regulatory, benefit plan, and Company policy requirements
- Guide employees through benefit events including open enrollment, qualifying life events, and new hire onboarding
- Resolve and redirect Help Desk tickets in accordance with established service level agreements (SLAs)
- Provide timely and accurate information to employees regarding claim inquiries, policy clarifications, COBRA, and dispute resolutions
- Preserves confidentiality of employee medical documentation and files
- Provide exceptional customer service to internal and external partners
- Provide occasional support for immigration sponsorship processes, including documentation preparation and coordination of related employee inquiries
- Perform other duties as assigned
EDUCATION AND WORK EXPERIENCE
- Bachelor's degree in Human Resources, Business Administration, or a related field
- 3+ years of experience in benefits, wellness, and end user support
- Strong knowledge of employee benefit plans, regulations, and industry best practices
- Bi-lingual (English & Spanish) highly desirable
- Advanced Excel skills required (pivot tables, VLOOKUP, charts, etc.); data visualization experience is a plus
- Strong understanding of benefits regulations (ERISA, HIPAA, ACA, COBRA, FMLA)
- Excellent interpersonal skills and customer service mindset with the ability to handle confidential matters professionally
- Detail-oriented with strong organizational and time management abilities
- Experience with Workday or similar HRIS systems is a plus
